International Board of Directors Meeting

January 20, 2001

The January 20, 2001 meeting of Amtgard, Inc. Board of Directors was opened at 3:00 p.m. at Memorial Park by Dame Gwynne, Secretary-Treasurer of the previous Board.

The minutes of the December 9, 2000 meeting were read and approved as written by unanimous consent of the Board. The original minutes will be maintained by Dame Gwynne, Secretary-Treasurer of the Board.

Prior to consideration of the Agenda items, Squire, Lady Verana was welcomed as a new Board member, and Sir Aramithris as newly elected Prime Minister.

I. Assignment of Terms of Service and Election of Officers: All

      1. As presiding officer of the prior Board, Dame Gwynne asked for discussion and nominations for the Terms of service for the 2001 Board. Dame Gwynne and Sir Bolt were nominated and seconded for two year terms. A motion was made to elect both as two year Board members (to serve until January 1, 2003). The motion passed by unanimous consent
      1. Nominations were then requested for Board officers. Dame Gwynne was elected as Secretary/Treasurer for the calendar year 2001, and Sir Aramithris was elected as Board president for the calendar year of 2001 by majority vote.

II. Secretary-Treasurer’s Report: Dame Gwynne

  1. Status of bank statements as of 12/31/00 were reported to the Board, and are made a part of these minutes.
  1. After discussion by the Board, A motion was made for resolutions be drafted by the Secretary-Treasurer deleting Sir Trinity’s name and adding Sir Raphael’s name on the signatory sheets for Bank of America and Wells Fargo. The motion passed by unanimous consent. Dame Gwynne will provide the resolutions at the next scheduled Board meeting.

III. Prime Ministers Report: Sir Aramithris

      1. Sir Aramithris thanked the Board for electing him to the position of President, and reported that all club member records are up to date.
      1. It was also announced that there will be a new peasant sign-in class for all members of the Burning Lands who persistently show up at Memorial Park without garb beyond their first month of participation in Amtgard.
      1. Sir Aramithris also stated that it was every Burning Lands member’s responsibility to read and participate in Amtgard according to the Rules of Play. The Board concurred that any participant who had not secured and read the Rules of Play beyond their first month of participation would not be allowed on the field.
  1. Amtgard Groups: Sir Bolt

      1. Sir Bolt reported that a barony in Pennsylvania had approached the Kingdom of the Burning Lands requesting Burning Lands sponsorship on the grounds of strong differences with their now sponsoring kingdom. Sir Bolt and Sir Aramithris noted that this was not a Board matter, but rather one for the Monarchy of the Burning Lands. That being said, Sir Bolt offered to act as mediator between the subject barony and kingdom in an effort to encourage a amicable settlement.
  1. Clan 19: Although not a Board related matter, the opportunity was taken to discuss the status of Clan 19 planning, to wit:
      1. Dame Gwynne as senior autocrat for Clan 19 asked the Board members for suggestions for sub-autocrat responsibilities. Sir Raphael was confirmed as sole electronic contact regarding dissemination of Clan bulletins and newsletters. Sir Raphael also accepted responsibility for running the war events at the upcoming Clan. Squire Wovoka accepted full responsibility for all med-tent related items; Squire Garik will be in charge of Clan 19 security functions, and Squire Mezzie will coordinate gate related functions. Clan 19 will commence on Friday, July 19 and end on Sunday, July 22nd.
      1. Dame Gwynne also mentioned the necessity of much closer coordination with local Cloudcroft law enforcement agencies, the National Forestry Service and the management company that handles the Clan site.
      1. Detailed discussion of Clan 19 related matters was deemed inappropriate at this time. Dame Gwynne said she would report general progress on Clan with the Monarchy’s permission as a matter of courtesy to the Board.
  1. Voting Criterial for the Upcoming Crown Elections and Related Matters:
      1. It was agreed by the Board that attendance for calendar year 2001 will be posted next to all candidate’s names on the April, 2001 election ballots.
      1. To be eligible to run for office and to vote are as follows:
        1. Due paid for at least the six (6) months preceding the election date.
        2. Attendance minimum of twelve (12) during the six months immediately preceding the election date.
        3. Kingdom membership for the six (6) months immediately preceding the election date.
        4. Possessing at least the minimum age of eighteen (18) years during the six (6) months immediately preceding the election date.

VI. Adjournment: There being no other business before the Board, the meeting was adjourned at 3:40 p.m. The next scheduled meeting will be Saturday, February 24, 2001 at 3:00 p.m.
